My name is Andrew Temple. I'm the product liaison for the billing team and I'm here with Kay. Thanks, Andrew. My name is Kay, CHL product Manager. During this presentation, please feel free to put in your comments or questions in the chat box and we will respond to them accordingly. Thank you, Kay. So we're gonna talk about a couple things today on the agenda. We're going to talk about some standard options, some helpful tools, additional options, current user experiences and new billing app user experience. I'm going to cover the standard options, the helpful tools and additional options and Kay is going to cover the last two. So first, we're going to start with billing options and we want you to kind of think about your options that you're using today and consider maybe a different way of doing them. So some things to think about. How often do you bill your clients with frequency? What value are you using to bill those clients and what styles are you using? So which periods are you billing forwards or backwards? As everyone knows, looking at the screen, if you've used Orion, under the Account Billing area, there's a section called Frequency. This section dictates how accounts are billed throughout their life in Orion. So just some fun facts, we have 62% of our advisors use quarterly billing and 38% use monthly billing. As you can see the frequency of a drop down with some other options that are available. So from last slide we're going to go into valuation method and we're going to talk about three different options. We have period ending value, it's going to look at the end period of the account and determine the value we're going to use average daily balance it's going to take out on. Every day's value and divide it by the number of days in the quarter. And then we're going to do average monthly balance. It's going to take the last value of the last three months and divide those evenly amongst each other to determine the value. So we can build on styles, we can build on arrears for the work that's already been done for the client or advance for the work that's going to be done for the client. So the next slide coming up, we're going to take all the things we talked about before and we're going to kind of combine them into a pros and cons list. So you can see here for period end, we have a couple pros where we basically match the value of the custodial statement. It's easy for you to determine and reconcile and prove those fees out using our system. And there's no need to run bills midquarter, some cons that we run into when a client leaves. You're going to have, you're going to have to track that client down to try to build them and that it's moderately accurate. So though it chooses one day's value and it has a lot of market versatility that can affect that accounts value for advance period end. The pros are that you're paid upfront for the coming month or year or quarter your market value matches the custodial statement. Should the account cancel, you can provide a refund to your client as opposed to trying to go out and collect it, and it's easy to calculate. The cons for this is our least accurate estimated method. You have to bill for new accounts midquarter and you have to run cash flows midquarter, average daily balance. You're paid upfront for the coming quarter, the client leaves, you're going out and collect a refund. They are a more accurate explanation of what happened in the account during the quarter. Some cons, it doesn't match the custodial statement. You have to use different means to reconcile and you still need to run new accounts and new flows quarterly. Rear's average daily balance is our most accurate method as again it captured what happened during the quarter as opposed to one day. You don't need to run Bill's midquarter. You do have to go out and collect when the client leaves and it is harder to prove during a custodial statement. Some helpful tools that we use as well to bill. We have financial planning fees. This allows you a reoccurring one time fee charged to a client that does not have AUM on the platform. These clients can pay by check, credit card, ACH, or even other studio accounts and this creates A trackable account receivable for easy review. So just like our other accounts, every every time you bill, you can create reports, you can post payments, and you can even show it on client portals. Running these bills is easy, then the bill generator. There's an area called the Financial planning fee that you select, allowing you to run across the board. This ties into an integration that we have with Clover. It was previously Blue Pay for some people that may be watching this. This allows you to enter the credit card information at the household level in Orion. It's stored in that system and you can charge your clients management fee through that portal. And it is an extra integration outside of Orion. So setting this up would start with them. So here's the contact information for Clover if you're interested. We also have a support doc and Orion support system at the. You can access to Reveal. Next item we have is our fee file submission integration with TD and Schwab. This is a one time login that allows you to upload the fee files for TD and Schwab with a click of a button. There are two references you can do, TD Ameritrade fee submission and the swab submission. These are manage user rights and are available to everybody. So if you have a single sign on to Schwab or TD you can utilize this function to allow for a quicker submission of your fee file. There's more additional options that we want to talk about. These will be in the forms of any options and margin. We want to think about these options that we're going to present just to determine if there's something that you want to use or something you haven't thought about in the past. So billing any options round fees where we can get a very even number that's easy, easy to reference. Troy bills by cycle, so we can do 90 / 360 or 3030 / 360 as opposed to counting actual days. We can set your default to advance your arrears as a billing style and we can bill in arrears without cash flows. Next up is margin. Orion treats every negative value as margin in Orion. So our billing system has two features. We can either set it to true or we can set it to false with true. We are going to count that margin towards the net value of the account or false. We're going to ignore that margin. And then I'm going to pass it over to Kay to start talking about the current user experience. Thanks, Andrew. My name is Kay, Product manager. For the remaining portion of this presentation, I would like to shift focus from what Andrew has talked about and go into the new user experience. We have been working on this app for the last couple months and I'm excited to share with you all here today. Now before I can proceed with the new user experience, let's do a quick recap of what the current user experience looks like. There are four bill applications that make up to the billing product. The first one is the billing audit. The billing audit is where you maintain your client's account informations or your fee schedules. So for example, you can update your payout rates and fee schedules. The second app is. It is the most used app in the billing product group. It is the bill generator. The bill generator is where you run your monthly or quarterly files, review them and before you submit to the custodians for processing. Thirdly, it is the postpayments app. The postpayment app is where you maintain your books of business. In other words, let's assume that you have. Q1 with $10,000 of total client fees and $1000 were uncollected. This is the application you would use to track of those outstanding client client fees. Last but not least is the Payout dashboard. The Payout dashboard is where you would use to payout to your business entities or your business partners. For examples, you have your custodians. Money Managers, Fund Managers, and your Reps. This is the section where you would use to pay those business partners or business entities. Here are some images of the four applications that I've highlighted. The first one is the bill and audit. Second one here is the bill generator 3rd, post payments 4th. Payout Dashboard Take a quick mental note of these four applications. You can see that the textures or the colors of these current apps have somewhat of a Gray and blue textures to them. Now let's transition to the new user experience of the new building app. What are you getting and what you're not getting in the new user experience? What's not changing is the business logic in terms of how the fees and bills are calculated. Those remain the same. Also, the API endpoints are not changed either. So in other words, if you're leveraging any Billing API endpoints right now, those endpoints will not be modified in the current state or in the future state. Should we need to build new API endpoints in the future, those will be new endpoints. So anything that's currently existing will not be broken in the future. Now the most exciting part, what are you getting in the new user experience? What you getting here is a modern user interface. Followed by a Streamlight user experience. And what I mean by that is we put a lot of R&D into the sections by developing this application a couple months ago. We have enlisted user feedback, talk to them and make iterative changes to capture those client feedbacks. Now here's an opportunity for you all to partner with Orion and my team to help build this new application in the best user experience possible. If you're interested, please feel free to reach out to the building source team members and they will help you set up the privileges to use new app. Currently you also get an improved speed. So what we did is we went back and looked at a lot of the code changes and make modifications to improve the speed on the front end. So here is the landing page of what the new application looks like. You can see that right now it has a modern different UI interfaces to it and we have. Built up about 90% of the billing audits, functionalities and features into this new billing app. In other words, you can do about 90% of the work you're currently doing right now and build an audit in this new application. So now let's look at some of the user workflows. Let's assume that we are selecting the Fee Schedule section. Now on the right hand corner you can select Actions. You have the option to add new, edit, duplicate and delete. Now this popup will show you what the new model or new popup looks like. So for example on the top you can see the General section and on the bottom you can see the structure in the current popup. These two tabs are in two separate pages so we consolidate that into one page and to make that more of a streamline user experience. So. Now in looking at this page here, this is the accounts view page. This is by far the most UI changes we have done so far. On the legacy side. On the left hand side, you see all those labels. On the left hand side, these are just essentially just different statuses of the same endpoint. So for those that are technical, listen to this recording right now you can see that these statuses are calling the same API endpoint. Now on the right hand side, this is the new structure, the new view that we built on the new user experience. Currently right now those ribbons, you're not able to drag or drop them or hide them. But in a future state we will give you the permission or privileges to be able to customize that view for you in the future. Again, here are some more animations of what the new user experience looks like now on this screen. Here could select by household ID, household name. Client ID, Client Name. So now you're looking at Account ID 7075. Click on Actions and edit now this popup screen. Here is the OUI, but we are currently right now working the new changes to modernize that popup with the modem. Now let's take a look at the 2023 rule map pertaining to the new app. In Q1 we have started the development work for the payout dashboards, functionalities and features in the new app. Starting in Q2 and Q3, we will begin the work on working on the features and functionalities of what the bill generators can do into the new app and we end this year by working on the post payment app. Thank you very much for your time. If there are any questions, please feel free to put in the chat box. For additional support, please reach out to the SME billing team. _1732383352903
