Thank you for joining me for my session top 10 features and best practices for the ASAP concur mobile app. My name is rich Adams and I'm a senior director for mobile spend. I'm responsible for features in the mobile app like expensive drive expense reports and budget. This would have been my 5th S AP Concur Fusion Conference in Orlando and I hope to see you all in person next year in Houston. I'm joined today by my team and will have time reserved at the end of this fashion to answer all your mobile queries. So please submit your questions throughout this presentation. And the dark let's get started with the top 10 features, tips and tricks in no particular order. Let's start with expensive. Expensive is a product that turns receive whether paper or digital into expenses. Using a combination of OCR, optical character recognition, machine learning, data science, and human audit expanded create categorizes like for example different expense type. And even itemizes them in the case of hotel folios and all these expenses for you. This result and improved accuracy by leveraging escapes technology and speed up the approval process for both submitted approvers and admins. Expensive helps your users stay compliant, leveraging the power and increase security of the ASAP concur mobile app. Now let's take a look at the expensive in action. So that was the walkthrough of expensive. But let's go a little deeper into the multipage capture feature. Many of you over half. Will capture your receipts at the end of a trip. For these, this feature makes it really easy to just snap snap snap many receipts. It's really simple. However, let me show you a way you can also capture those multipage receipts that were really difficult before. Things like hotel folios. For Maine, this was always the most dreaded path of completing an expense report after a trip. But now with expensive and multipage capture, it's really quick and simple. Let me show you how. Those that have ever expense mileage. We all know how inaccurate it can be at times. In fact, companies lose millions a year due to these in accuracies. So I'm gonna show you a way out ASAP. Conquer can help you get more accuracy. Max mileage allows you to visualize the route taken. Actually calculating the distance. While showing alternative routes and custom options like to avoid freeways and tools. Let's see it in action. Maps mileage is great. But what if there was an easier way to report mileage with increased compliance? When employees self report mileage, it can lead to errors, fraught and unnecessary costs. Concur drive captured mileage automatically. Using the GPS technology embedded in your cell phone. To help your organization track and document distances with ease. And all this without excessively running down your battery. Let's change now to conquer budget. Concur budget provides real time visibility before approving, spend an access to your budget. And easy to use dashboard allows you to quickly see if you're on budget approaching a predefined limit or even over budget. Plus you get all your mobile notifications that allow you to take action when you are approaching or receding these thresholds. Now let's take a look. Next up expensive distance. With this simple feature, uses the optin are able to have their available expenses transfer automatically to an open expense report based on their preferences. There are a couple of options for trip and calendar scenarios. Let me show you how it works and how to set it up. Concur request simplifies requests and approvals. Helping to drive policy compliance and control. Companies spend request for the mobile app was rebuilt from the ground up at the end of 2019 to be more stable, easy to use for creating and submitting requests, and to support more functionality to be on par with the desktop service you all know and love. And the last mobile release we added support for all expense and segment type. There is still a couple of exceptions like travel allowance in mileage, but we hope to get to them very soon. Let me show you how easy it is. Next, I really quick and handy tip. If your company admin's added your office locations to ASAP concur. With the mobile app, it's easier than ever to find a hotel that is close to your office location as the office is now represented on the map. As you can see in the screen to the right, the grape in at 601 108th Ave is my office. With this information you can now choose the hotel that is right for you. Maybe you want to hotel that is close to the office. Or maybe you're happier being a little further away. If you're next to a park for your early morning jog before work. Simply tap a pin surrounding the office icon to see the hotel property, name, cost and distance and rating. When you happy, you can just capture the book. It's super easy. One times change we like to update loved ones and colleagues. We all have our preferred methods. Some call tweet you social media. I'd like to show you a quick and easy way to share your itinerary from our mobile app that includes all your key travel info. Concur locate enables you the company to Phil Phil York, duty of care and protect your employees by staying aware of events and travel itineraries. Whether it's a simple change of plan or an emergency conquer, locate allows administrators to find and quickly reach out to impacted employees. Allowing them to get timely relevant notification, fire mobile text or email. So that they can then take appropriate action. Alright, so rich ready to start going through some of these questions. Yeah, I'm ready. Looks like a lot of questions came in. Yep, we sure do so. We're going to do our best to get through these and anything that we don't make it to today will be make. We will make sure to follow up with you via email so. First question for the day. Will delegates be available in Mobile? Oh, that's a good question. Delegates is currently not part of product direction, but it is something that every Fusion I've been. I get the question, so it's definitely a very passionate number of our clients and users out there that once you delegates on their mobile phone. But like I say, it's currently not part of the product direction and on the road map, but it's something that we love to hear your feedback about. It's something that is top of our mind and stay tuned for the external road map as soon as we have something to announce it will be announced on there and we will be. Yeah, we'll be working on it, but, uh, nothing to say I think yeah. Got it. Next question, how do you change your currency? So changing your currency, there's a few ways you can do that. Uh, if you're using expensive and the version that automatically extracts the amount on the device and the question could have been based around that because you can't. Actually at that point, when it returns a value, change the currency there and then. There's a reason for that, and the fact is that when we look at the figures, expensive is very accurate, accurate with getting the currency with almost close to 100%. When we look at the big picture. And so to actually change the currency is normally done either at the available expenses level, so in the expense list you can tap into each individual expense and you can change the currency there, or you can change it when you have an expense also added to a report. So when you dive into the report and you see the expenses there when you go into the details, you'll be able to see the currency and you can change the currency there and conquer support every available currently, so I believe it's upwards of 200. I got it. Thank you next question. Is it possible to identify receipts that were captured using expensive and the dollar amount was manually edited to use as a? Why to audit for manual errors? I'm gonna ask Pablo from my team, Pablo, do you want to take that one? Hello uh, yes, uh so um can you repeat the question please I'm sorry. Yes, so is it possible to identify receipts that were captured using expensive and the dollar amount is manually edited as Y to audit for manual errors. So, uhm, if you are, if you are talking about the entry level. So if I'm a user and want to know if I was changed, uh, it is not as straightforward, uh, but there is a reporting that can be done about expensive. So in that case the customer can reach out there reporting consultant if they have any or support to help them out to figure out what reports they can run to see. Uh, some indications about expensive thing at the insights. Thank you Pablo next question. At sometimes I send receipts by email and they create an expense entry which does not match to the credit card transaction. I can't seem to merge them, so I end up deleting the expense at entry. How can this be simplified? OK, that is a good question and it's something the top of our mind. How can it be simplified? There's a couple of answers to this. One is it's currently not possible within the mobile app to actually merge entries. It's something that you still have to do with the desktop level, so that is something that's top of our mind. We're looking to fix is part of product direction. I don't have a date to give for that, but that is something that we want to. Finish to close the gap between functionality that's available on the desktop and the mobile. And the other part of the question is around why this happens. So, uh, the way we match, uh, on the back end between what comes in through credit cards and comes into expensive. There's normally a few key parts of information that it matches on, and there's complex algorithms around it. But essentially, things like the vendor name, the date, the amount, the Currency, those are key things, and if you're looking at credit card receipts. Expenses that come in certainly US. There was a lot of, uh? A lot of times there will be a tip on there or they'll be amount, so the actual amount that is sometimes captured by expensive and via the credit card. A slightly different when those amounts of different expense. It does struggle with matching those because what will generally happen is it can take up to a couple of days for the actual final amount come through from your credit card company and that's what causes a lot of the matching issues. Is that difference that it's very hard. Well, it's not possible for ASAP compared to control that. So we're looking to make it better on the mobile app and so that you can actually match and fix those issues when they occur. And we're also working on the back end to try and adjust those algorithms and rules to make matching better, so it's kind of. A2 pronged approach that we're trying to take to fix this issue. They got it. Thank you rich. Next question M. Let's see how do you add comments to a scanned receipt. Add comments to a scanned receipts um dependently mean by scanned receipts you saw as part of the presentation. When you're capturing receipts, fire expensive. It's very easy to add, add comment that point when you capture in by the little icon in the top right. Uhm, you can also add comment. I'm assuming it's about as soon as it's available to your company and have enabled it when you're actually adding the expense of the report level. If you meant by scanned receipts, as in something that is sent in by email, than that does have to be, the comments have to be added after the fact. We don't have a way to actually add comments at the point when you actually email it in. And. The comments just something I want to call out for Android users and that is something that we currently have not got lives on Android. For expensive, it's something that we're working on. Stay tuned on that. Good clarification. Um, for next question does concur budget work with what is expense? And compare the two days. Yes, it it has availability too. Spend as well as spend that is happened and also spenders in process, but yet. Hey. Um era many questions around concur drive. Uhm, and if that's an add on feature and if they're interested, how do they get more information on concur drive? So I will open to that one and then I will hand over to lively on my team who is the drive expert. So drive drive is an add on if you want more information on how to get down to your account then please do speak to your web and you can. Also if you don't know who records. And as a survey at the end just fill your details in there will get back to you on that one. And likewise, we take any other questions we have to drive 'cause I know there was quite a few. So next slide question please. Am let's see. Uh, is the calendar based expense assistant based on our fiscal calendars that we set up in concur? Or is it possible to be done that way? How expensive is it? OK, I'll take that one so expensive system. It is not. It is actually set via the calendar month and it's not set by any fiscal Carolyn does, so it's the first at the end of the month. If you set it by that, I would be interested though how many customers want it set to a different way. So if that is something that interests you and your users, then please reach out on the survey. It's not something personally I've heard before. So yeah, I'd like to hear more if that applies to you in something that you'd want to change expensive system from being calendar month based or trip base. Alright, next question. We don't see all of these options in the mobile home page. Can you tell them why they might not be seeing some of the features? Yeah, sure, uhm. and I did see some questions coming from some very observant users in clients out there, so some of the screens that we used in the demo for actually from. Using some accounts that I had logged into that showed various features were available. The homepage is customizable to your account, so it's what's been settled by your company admin, so some features if there not available, will not show. Orders will be slightly reordered based on the products that are available to your users. Again, configurable by your company admin. So it's. It really depends on what your company wants and what services .80 concur you require users. Um, so yes, and some of the things in the demo you did see world. The previews of things that we're working on and changes that we might be making. The home screen is one of those areas that have not changed for many years, and it's something as a team. We would look at seeing if we can make some changes. Of course we will give you guys as much notice as possible if you ever do want to change anything, but it's one of those areas that as a team we talked about that we could make improvement to in the future. So as soon as we have some news there, we would let you know. Yeah, good question. Well spotted. Great, I'm going to combine a couple of these here, 'cause I think it might have a similar answer, so there's some questions around, uh, maybe taking a long time for transactions to match or for OCR to work and things like that, so there's some questions around if there's been improvements to expense it for it to be working properly or faster now that it might have before. Yeah, it's a good question and, uh, one that I'm I'm happy to answer. So, uh, the question that I saw around the OCR taking time that I've got to be honest is a surprise to me. We've made a lot of improvements over the years to be expensive service both before it was when it was its own separate app, and then for the last couple of years that it's actually been integrated into the deep concur mobile app. Um? Since we added at the end of last year, the ability to almost in real time extract the amount you've seen the processing times overall. Really draw. Uhm, you will see that obviously bringing the amount back now is normally a matter of seconds. And with regard to the full analyzing of the received, that goes through the whole essay P cloud. And it's very rare to see it take over a minute. In most cases it's it's. It's pretty quick by the time you actually finish the process in the receipt, is there available for you to actually attached to report and get on with your life? So yeah, anything you see with OCR taking time now, please report it. It's almost certainly an issue. Because the overall the times I really really quick. Um, with regard to any issues around matching, I think I answered that in the last question. I mean there are issues with matching with regards to just the credit card processing general. Taking a couple of days. So yeah, the second amounts coming through is not something ethically concur. Have any control over, but the matching accuracy in general an involving that is something we're always working and trying to improve. And I also want to add a couple of points on expensive. Where we're constantly looking at ways to improve it, and one of the one of the items are we did last year was expand expensive to cover Japanese as well. This is. As it were, and on top of that, we're looking into supporting more languages coming soon and on the capture, inside or expensive to get good results. We we did receive inputs or images, and we have made improvements on the camera on how to guide users to capture good images, so our effort is is is has been made on. Both the capturing as well as processing of receipts. How much is a good point? Thank you for pulling me up on that one wildly. Also Pablo if you're there, maybe you could talk a little bit about the improvements we made to be Android app with the camera capture. Those have been very recent. Yeah, so we we have come, we knew that there was a little bit of a gap of what Android could do versus iOS an and one of them was a extremely important for the accuracy of expensive uh, which was the the removing of the background picture that is, you know the table. Whatever you are you are putting your receive on. So the improvement is is that we are now scanning the image. Before we actually save it so it isn't it too expensive an extracting the area that has text that has the information about the receipt. Anna and cutting for you for sending too expensive and making sure. Also inform the users if they the picture is. The text from the receiving horizontal, a readable right. If this is I when this is accomplished, a OCR brings better better Russell. So for the users anan more accuracy and we start to see it on the on an expensive already there is a couple of other enhancement that we are working on an you will see more of them soon. Thank you Pablo. Yep, great thank you. Um, I'm going to combine another sort of hot topic and I think we already touched on it a little bit. But comments have come up a couple more times. Uhm, so someone saying that my expensive app does not include the comments feature? Is there a newer version or will the new version have comments on expense it? Can you revisit that topic again? Yeah, so very quickly the comment. He's available on iOS on Android. It's still not available. It will not be available in the next version, which is 978, which actually we're working on hard right now to get released, so that's our match with version. It will not be in there, but we're working on it and hopefully will have an announcement soon. Great am I think we've got time for about one more question. Um, there's some around expensive sistant versus expensive. That's the same thing. Or how are they different and can you talk about that a little bit completely different? So expensive? Sistant is free feature that you are that you can enable and your company had the choice to allow that to be available for users. And then the users can. Decide if they want ASAP. Concur to try and put their available expenses into and expense report based on their own preference, whether it's calendar or whether it's trip based expense. It is the service that is an add on to your company. Need to speak to your Rep and there's a charge for that, and that's the one that turns basically receipts into expensive automatically.
